# Set-up a Coach Profile

### Overview

When an Admin has given the Coach role to a Profile, that Profile will see a new button in their More tab of the App. By clicking on this button, the new Coach can go to the Coach page of the Dashboard to set up or edit their Coach Profile.

Anyone who is a Coach and wants to make money at your Club needs to set up their Coach Profile.

### Coaching Details

This is where the Coach edits their basic information, like:

* **Short Name**: This is the abbreviated name for the Coach.
* **Slug**: This is the unique URL that can be shared with Customers to reach the Coach's Bio from outside the App.
* **Ball Machine toggle**: Don't turn on unless this is a Ball Machine.
* **Tier**: This cannot be changed by the Coach, can be changed by an Admin or Owner.
* **Photo**: Every Coach should add a photo.
* **Bio**: When a Coach adds a little information about who they are, they receive more requests for Lessons.

#### Coach URL/Slug

The Slug is a URL you can use on your Club’s marketing website as a call to action (CTA). This CTA might be a button, like “Find out more about our coach Kyle” or “Book a Lesson with Kyle.”

The Slug is at the end of your Club’s URL, where:

* Club Name = your brand name
* Slug = the value a Coach inputs into their Coach Profile Details

And looks like this:

* `https://club_name.podplay.app/coach/kyle-nielson-ryen`

### Coach Rate

A Coach can set a rate for up to six (6) Customers per Lesson. Depending on how many Customers a Coach is willing to train, the Customer will see a group size selector when attempting to book the Coach. The Customer will also have the option to adjust this group size on the last page of the booking flow. For example, if the Coach will only teach a lesson with 2 Customers at a time for a Reservation, then a Customer can only book said Coach with one other person.

Rates should be entered according to the Coach's preference for player counts.

### My Locations

Without a Location selected, the Coach is not associated with anything. **Coaches must select a location** in this section of the Coach Profile.

If a Coach wants to work at more than one location, they can add all preferred locations here. If more than one location is selected, they'll want to set a Switch Cushion (see below).

### Student List

The Student List inside the Coach profile is a section where the Coach can detail which Customers are able to book the Coach.

* **If the switch is toggled OFF**, anyone can request to book the Coach.
* **If the switch is toggled ON**, only the Customers on the list are able to book this Coach for a Lesson.

**This is a helpful tool If the Coach is highly sought after** and is receiving lots of Customer requests for lessons. The Coach will be able to choose which Customers can book a Reservation with them, allowing the Coach some flexibility in who are their students.

**This is not a helpful tool if the Coach wants anyone to be able to book a private Lesson with them**.

### Weekly Availability

***This is a drafting space*** to edit the potential times when a Coach wants to work. This section of the Coach Profile should be completed thorough during Coach Profile setup.

As each of the open time blocks in the Weekly Availability are clicked on (or click and drag your mouse to highlight several at once), the time blocks will change color.

**Once the Weekly Availability is set, the Coach should set up their** [**Public Availability**](https://podplay.gitbook.io/docs/coaches/set-up-a-coach-profile/public-availability)**. If they do not set their Public Availability, Customers cannot book a Lesson with the Coach.**

### Switch Cushion

**If your Club only has one Location**, the Switch Cushion will not apply to your Coaches.

The Switch Cushion inside the Coach Profile is a time buffer that a Coach can set between when a Customer can book them and when they will be ready for a lesson when moving between Locations.

In some examples:

* **Switch Cushion is 1 hour**: Assuming the Coach has a private Lesson at 8 am, if a Customer wants to book this Coach at another Location for 10 am, the Customer CAN do so.
* **Switch Cushion is 1.5 hours**: Assuming the Coach has a Clinic scheduled for 12 pm, if a Customer wants to book the Coach at another Location for 1 pm, the Customer will NOT be able to do so. The Customer can book the Coach for a Lesson starting at 2 pm.
* **Switch Cushion is 12 hours**: Assuming the Coach has a private Lesson at 8 am, if a Customer wants to book this Coach at another Location for 4 pm, the Customer will NOT be able to do so.

To illustrate further in the screenshot below from the Coach page of the Dashboard:

* The Coach Is teaching a Clinic at Venue 1 at 10 - 11 pm
* Their Switch Cushion is 12 hours
* Someone can book them at Venue 1 again once there is Public Availability the next day
* The earliest someone can book them at Venue 2 is 11 am the following day

### Notice Cushion

The Notice Cushion inside the Coach Profile is a time buffer that a Coach can set between when a Customer can book them, and when they will be ready for a lesson.

In some examples:

* **Notice Cushion is 1 hour**: The current time is 8:45 am. Customers can book a Lesson with the Coach starting at 10 am.
* **Notice Cushion is 1.5 hours**: The current time is 5 pm. Customers can book a Lesson with the Coach starting at 6:30 pm, if they book immediately.
* **Notice Cushion is 12 hours**: The curren time is 4:50 am. The earliest any Customer can book this Coach is 5 pm that evening.

* The Gray highlight shows this time slot has passed
* The Yellow highlight suggests the Coach has a Notice Cushion of 1 hour
* The Green highlight shows open time for when Customers are able to book a Reservation with the Coach

### Payments

When a Coach sets up their Profile, a blue **Start Onboarding** button appears under the Payments section. This button routes the Coach to Stripe to create the account that receives their payouts.

Without finishing the Stripe account, the Coach cannot be paid through PodPlay. If the Coach has not completed Stripe onboarding, an Admin sees an error message in the Coach Profile when clicking the Payments section.

Once the Coach completes Stripe onboarding, they start receiving income for their work at the Club.
