Lesson Pass Payouts

This feature is in development.

Overview

When a Customer uses a Lesson Pass, they may pay $0 for Coaching at checkout. The Coach can still receive Payments & Payouts. The Coach payout is calculated from the Lesson Pass payout rules, not from the Customer’s final charged amount.

This applies to private Lessons where Coach payments are enabled and the Coach has completed Stripe onboarding. International Clubs that pay Coaches outside PodPlay are unchanged.

Why this matters

  • A Lesson Pass can zero out the Customer’s Coaching charge

  • Without Lesson Pass payout rules, the Coach would receive nothing for that private Lesson

  • The system pays the Coach using Lesson Pass payout rules and the Club/Coach split configured for that pass (or the Coach’s tier split if the Pass has no override)

How Coach Payout is calculated

1. Lesson Pass from a Membership package

  • Use the Coach’s set rate for the covered time (not the coach-tier hourly rate)

  • Subtract the club fee using:

2. Lesson Pass from a purchased standalone package

  • Divide the Package price by the total number of Passes in that Package (all Pass types)

    • Example: a $100 package with 5 one-hour Lesson Passes → each pass is worth $20 of coaching value

    • Example: a $100 package with 5 Lesson Passes and 5 Reservation Passes → each Lesson Pass is worth $10

  • Subtract the Club fee using the same split rules as above

3. Partial coverage

  • If a 2-hour lesson is only partly covered by a 1-hour Lesson Pass, PodPlay pays the Coach for:

    • The covered hour using the Lesson Pass rules above

    • The uncovered hour using the normal coaching value for that time

  • Court fees never count toward the Coach payout, even when Includes court fee is on

Club/Coach split on the Lesson Pass

When you set up a Lesson Pass, you can optionally store a Club/Coach split as either:

  • A percentage, or

  • A fixed amount in dollars

You cannot set both.

Leave both blank to use the Coach tier’s default split.

The split saved on the granted Package is what the system uses later. Editing the Package template afterward does not change payouts for Passes already given to Customers.

Membership vs. Standalone Lesson Passes

When a Customer’s Coaching line is $0 because a Lesson Pass was used, PodPlay still pays the Coach. The gross amount depends on whether the Lesson Pass came from a Membership package or a purchased standalone Lesson package. The Club/Coach split (options detailed above) is applied after that.

Use this page to check that the Coach transfer matches the right rule after settlement. Full setup and split fields are on Coach Payouts When a Lesson Pass Is Used.

Membership Lesson Package

  • PodPlay pays using the teaching Coach’s personal lesson rate for the covered time

  • Do not expect the Club coach-tier hourly rate when the Coach has their own rate set

  • Then subtract the club fee:

    • The Club / coach split on the Lesson Pass, if one was saved

    • Otherwise the Coach tier’s normal split

In an example:

  • Coach personal rate: $100/hour

  • Club tier hourly rate listed on the tier: $50/hour (ignored for this payout)

  • 1-hour lesson fully covered by a Membership Lesson Pass

  • Pass club fee: 70% (or use the tier split if the pass has no override)

Gross coaching value = $100. After a 70% club fee, the Coach receives about $30.

If the Coach has party-size rates (for example 1 guest vs 4 guests), PodPlay uses the personal rate for the lesson party size, not the tier default hourly.

Standalone Lesson Package

  • PodPlay divides the package price by the total number of passes in that package (all pass types on the grant)

  • That unit value is the coaching gross for each redeemed Lesson Pass

  • Then subtract the club fee the same way as above

In an example:

  • Package price: $500

  • Package contains 5 Lesson Passes (and no other pass types)

  • 1-hour lesson fully covered by one redemption

  • Coach tier club fee: 30% (pass has no override)

Unit value = $500 ÷ 5 = $100. After a 30% club fee, the Coach receives about $70.

If the package mixes Lesson Passes and Reservation Passes, the price is spread across all pass units. A $100 package with 5 Lesson + 5 Reservation passes values each Lesson Pass redemption at $10, not $20.

Lesson Pass is Remapped

When staff apply a Customer’s single-coach Lesson Pass for Coach B while booking a lesson with Coach A, the Customer can still get the Lesson Pass discount. Coach A (the teaching Coach) is still paid using normal Lesson Pass payout rules — not Coach B’s rate.

For when and how staff confirm the remap at checkout, see Apply a Lesson Pass for a Different Coach.

What stays the same

  • Membership Lesson Pass → teaching Coach’s personal lesson rate for covered time (not the coach-tier hourly rate)

  • Purchased Lesson Package → Package price ÷ total Pass units in that package

  • Club/Coach split → Lesson Pass override if set, otherwise the teaching Coach’s tier split

  • Court fees never count toward Coach payout

What remapping does NOT do

  • It does not pay Coach B for the lesson

  • It does not switch valuation to Coach B’s list rates

  • It does not remap tier-scoped or multi-coach Lesson Passes (those never apply this way)

What staff should verify

  • The Coach is added to the Reservation

  • The Coach has accepted the Lesson invitation

  • Coach Payments are enabled for the Coach’s tier

  • The Coach's Stripe onboarding has been completed

  • After settlement, the Purchase tab of the private Lesson shows the Coach transfer for the expected amount

  • The Reservation was NOT Free (Coach is not paid on free bookings)

If a Coach was not paid and should have been, see No Payment Received or Pay a Coach ad hoc.

Tips

  • Customer charge and Coach payout are separate: a $0 Customer coaching charge can still produce a Coach transfer

  • Reservation Passes and other Play Pass types do not use these Lesson Pass payout rules

  • For setup of Lesson Pass fields, see Set Up Lesson Passes

  • Remapped single-coach Lesson Passes still pay the teaching Coach using these same Membership Package / Standalone Package rules.

  • Court fees never count toward Coach payout, even when the Coaching Lesson includes court fees

  • The system's scheduled capture of funds waits until the Lesson ends (staff can settle sooner from the Dashboard if the Settle Now link is used)

Unused Lesson Passes after expiry

When Pay Coaches for unused Lesson Passes is ON in Company Settings → Booking → Lessons, and a Lesson Pass is limited to exactly one Coach, and the Package expires with unused Lesson Passes remaining (and the Package was not canceled), the system pays that Coach for the unused quantity using the same valuation and Club/Coach split rules as detailed above and configured in the Lesson Pass's Package.

  • Membership Lesson Passes use the Coach’s current Lesson rate for the remaining duration

  • Standalone Lesson Passes use the Package price divided across all pass units in the Package

  • Multi-Coach and Coach-tier Lesson Passes do not receive an unused-expiry payout

  • Coaches still need payments enabled and a finished Stripe account

  • The setting defaults to OFF; turn it ON to enable these payouts
