# Attendee List and Spots Left Configuration

These settings control whether Customers see how many spots remain on an Event and whether signed-up player names are visible to other Customers in the App. **Show Spots Left** and **Public Attendee List** are independent — you can turn one off without affecting the other.

Settings apply at three levels: **Area** (master gate), **Company Settings** (default for new Events), and **per Event or Template**.

***

### Area-level setting (master gate)

This is the top-level switch. When it is off, neither spots-left nor public attendee list options are available for Events at that location.

1. Navigate to the **Venue** page in the Dashboard
2. Open the **Areas** section and click into the area
3. In the area drawer, find **Show Spots Left and Attendees List on Events**
4. Toggle on or off and save

When this setting is **on**, Admins can configure both features per Event and in Templates. When it is **off**, Customers will not see spot counts or public attendee names for Events at that area, regardless of per-Event settings.

***

### Per-Event settings (Advanced Features)

For Events and Classes, Admins can control each feature independently under **Advanced Features** in the Event Settings.

1. Create or open an Event
2. Expand **Advanced Features**
3. Use the toggles:
   * **Show Spots Left** — Shows Customers how many spots remain for this Event
   * **Public Attendee List** — Shows signed-up Customers publicly (first name and first initial of last name only)

\[SCREENSHOT NEEDED: Advanced Features section showing both Show Spots Left and Public Attendee List toggles]

Both toggles are on by default when the area setting is enabled. Turn off **Show Spots Left** to hide the spot count without hiding attendee names. Turn off **Public Attendee List** to hide individual names while still showing how many spots are left.

**Public Attendee List** is automatically disabled for Kids Only Events.

***

### Template settings

Event Templates can save default values for both features so Admins do not have to configure them each time.

1. Create or edit an **Event Template**
2. Scroll to the **Features** section
3. Toggle **Show Spots Left** and **Public Attendee List** on or off

\[SCREENSHOT NEEDED: Event Template Features section with Show Spots Left and Public Attendee List toggles]

Both toggles are always available on Templates. When a Template is applied to a new Event, these settings carry over. The destination area's master gate still controls whether Customers actually see the information in the App.

### Company Settings default (Public Attendee List)

Owners can set whether **Public Attendee List** is on by default for newly created Events (when the area allows it).

1. Navigate to **Company Settings** in the Dashboard (Owner role required)
2. Open the **Community Events** section
3. Toggle **Public attendee list**

When enabled, new Events default to showing the public attendee list. Customers can still turn off their own name visibility in the App under **Account → Preferences → Social Settings**.

### What Customers see in the App

#### Show Spots Left

When **Show Spots Left** is on:

* The Event detail page shows how many spots remain (for example, "3 spots left") in the **Sign Ups** section
* Event cards show a blue **ONLY X SPOTS LEFT** tag when fewer than 10 spots remain

When **Show Spots Left** is off, Customers do not see a spot count. The Event may still show as full or offer a Waitlist.

#### Public Attendee List

When **Public Attendee List** is on:

* The **Attendees** section at the bottom of the Event page lists signed-up Customers by first name and first initial of last name

When **Public Attendee List** is off:

* The App shows the total number of players instead of individual names

Customers can hide their own name under **Account → Preferences → Social Settings** in the App. When a Customer turns this off, their name is not shown even if the Event has **Public Attendee List** enabled.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.podplay.app/events/create-an-event/attendee-list-and-spots-left-configuration.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
