# No Show Fees

### Overview

When a Customer signs up for an Event and never checks in, that space goes unused: another Customer could have taken it. An admin can charge that Customer a No Show Fee directly from the Event's attendee list. The fee defaults to the Club's configured amount and can be adjusted per Customer before charging.

**This is best applied for Event sign-ups that are free/cost $0, rather than charging a No Show Fee for Event sign-ups that cost money**. Meaning, if a Customer signs up for a $10 Event and does not cancel, they are charged $10 even if the Customer no-shows.

#### No Show Fees are never charged automatically

The system will not charge a no-show on its own. An admin always decides who gets charged, because a missed check-in is not always a true no-show, and charging is not always the right call. Reasons a Club may choose to give grace instead of charging:

* Customer loyalty or value: long-term or high-value Customers may get grace as a retention strategy.
* First-time offense: giving a Customer one free pass before enforcing fees.
* Customer goodwill: preserving the relationship over short-term revenue.
* Legitimate emergencies: medical issues, family emergencies, or other extenuating circumstances.
* Service-side fault: no one at the Front Desk, or the Customer walked past the Front Desk without checking in.
* Regulatory restrictions: some jurisdictions limit or prohibit certain fees.
* Check-in edge cases: the Customer moved from an Event to a Reservation or the reverse, came in through a side door, or showed up late, so they read as a no-show without being one.

#### Prerequisites

* A Default No Show Fee set under Company > Overview > Event Signup Settings (defaults to $10).
* The No Show Fee product enabled under Other products.
* The Event has started at least 15 minutes ago.
* At least one eligible no-show on the Event.

#### Set the Default No Show Fee

Go to Company > Overview > Event Signup Settings and set Default No Show Fee. The default value is $10. This amount pre-fills the Charge Amount in the No Show modal for every Event. The No Show Fee is its own product listed under Other, alongside Infraction. To charge tax on it, add NO\_SHOW\_FEE to the Tax JSON.

#### Who is eligible to be charged

A Customer appears in the No Show modal only when all of these are true:

* They have not checked in.
* They have not already paid (cash, card, or credits).
* They are not already covered by an inviter.
* They have a valid payment method on file.
* They are not a Coach or a Guest / Non-Participant.
* They have not already been charged a No Show Fee.

#### Steps

1. **Open the Event's attendee list:** The No Show button sits above the list of attendees. It stays greyed out until 15 minutes after the Event's start time. Hovering over it before then shows a tooltip explaining when it becomes available. It is also greyed out when the Event has no eligible no-shows.

2. **Click No Show:** A modal opens listing every Customer eligible to be charged a No Show Fee.

3. **Select who to charge:** Check each Customer you want to charge. The Event's non-member price is shown above the Charge Amount as a reference.

4. **Set the Charge Amount:** The Charge Amount defaults to the Club's Default No Show Fee. Adjust it per charge if needed. Charging is disabled when the amount is $0.00.
5. **Confirm the charge:** Every selected Customer moves to a status of Queued.

#### Verify it worked

Each Customer you charged shows a status of Queued in the modal. Customers who are not eligible never appear in the list.

#### Charging no-shows for Reservations or paid Events

The No Show button covers free Event sign-ups. For a Reservation (court or table) or any other case the button doesn't handle, the Front Desk can charge a no-show manually as part of a Club SOP:

1. Monitor who checks in to the Reservation or Event and note who hasn't.
2. Decide your cutoff for charging. Common choices: 45 minutes after start, one hour after start, or 10 minutes after the Reservation or Event ends.
3. Charge the Customer inside the Reservation or Event. Add a "No Show Fee" item to your catalog so it's quick to apply. See Add to the Product Catalog and Add to Shop from Product Catalog.

#### Common issues

* **No Show button is greyed out:** Either fewer than 15 minutes have passed since the Event start, or the Event has no eligible no-shows. Hover the button to see which applies.
* **A Customer is missing from the modal:** They have checked in, already paid, are covered by an inviter, have no valid payment method, are a Coach or Guest / Non-Participant, or were already charged a No Show Fee.
* **The charge can't be submitted:** The Charge Amount is set to $0.00. Enter an amount greater than zero.

**Before you start charging,** if your Club is going to charge No Show Fees, publish the policy where Customers will see it. Adding "No Show Fees" to your marketing website's FAQ page is strongly recommended so the charge is never a surprise.
