# KISI

### Add Users to KISI

Adding a user to KISI grants a staff member, Coach, or owner door access at a Club through the KISI access control system. This applies to any Club that uses Kisi for access control.

#### Prerequisites

* KISI admin access
* The user's email address and full name

#### Steps

1. **Log into the Kisi Web Portal:** Go to <https://web.kisi.io> and sign in with your Kisi admin account.
2. **Open Users:** In the left-hand menu, select Users.

3. **Select Add Users:** On the left-hand side of the screen, click Add Users.

4. **Enter the user's email address and name:** Type in the email address and full name of the person you want to add.

5. **Assign access rights:** Under Access Rights, click Share Access.

6. **Change the scope to Place:** Under the Scope setting, select Place, then search for and select the Club name.

7. **Set the role to Place Door Access:** Under Select Role, choose Place Door Access.

8. **Share access:** Confirm Notify the user is checked, then click Share to complete the setup.

#### Verify It Worked

The new user appears in the Users list, and they receive a Kisi invitation email at the address you entered. Once they accept and set up their Kisi account, they can unlock the Club's doors from the Kisi App.

#### Common Issues

* **User didn't get an invite:** Confirm Notify the user was checked in Step 8 and that the email address was entered correctly. Re-share access to resend the invitation.
* **User has access to the wrong Club:** Check the Scope set in Step 6. The scope must be Place and point to the correct Club name, not an organization-wide or group scope.
* **User can't unlock doors:** Confirm the role assigned in Step 7 is Place Door Access. A different role may not include door-unlock permission.

### Staff Using the Door Locking App

We recommend using the KISI door lock if your Club is installing a door locking mechanism.

To use the KISI app, first go to your Google Play or Apple App Store and dowload the KISI app. The logo for the KISI app is blue with a circle and a square next to each other.

Once the KISI app is downloaded, click on it and open the KISI app. You will be prompted to add your organization to the app. Once you have connected your organization, click on your organization.

Next, click on your connected location and review the possible doors to unlock.

Click on the door you wish to unlock and the app will unlock the door for 3 seconds, showing you with a change in color and icon that the door is unlocked.

To add staff to the KISI app, you'll need to create a group first, then add users to the group.

PodPlay’s affiliation with KISI is a partnership through API integrations. The only connection between the systems is for Custoemrs to use your Club's App to unlock a specific door before an Event or Reservation begins.

### Door Held/Left Open Notifications

Getting a "Door Held Open" alert in KISI requires a door contact sensor wired to the KISI controller. A KISI Reader and KISI Hub/Controller on their own cannot tell whether a door is physically open or closed, so the alert isn't possible from the standard access-control hardware alone.

#### Why the Reader and Hub Aren't Enough

The KISI Reader and Hub/Controller can report who requested access, when the door was unlocked, and whether access was granted or denied. They cannot detect the physical state of the door. To generate Door Held Open alerts, Door Forced Open alerts, and Door Open/Closed event logs, KISI needs a door position/contact sensor wired into the controller's input. The sensor reports whether the door is open or closed, which is the signal KISI uses to trigger these alerts.

#### Prerequisites

* An existing KISI Reader and KISI Hub/Controller
* A door position/contact sensor (examples below)
* An installer to wire the sensor to the KISI Hub

#### Steps

1. **Procure a contact sensor:** The Customer purchases the sensor directly. The sensor itself is relatively inexpensive. Two examples:

   2. [Magnetic Door Sensor](https://lockchoice.com/magnetic-door-sensor-for-ip-access-control-system.html)
2. **Wire the sensor to the KISI Hub:** Have the installer connect the sensor to the KISI controller's input. The only added cost beyond the sensor is any labor the installer charges for this connection.
3. **Create an incident rule in KISI:** In KISI settings, create an incident rule that sends an email notification when the door is held open longer than a set threshold (for example, 5 or 10 seconds).

#### Verify It Worked

Hold the door open past the threshold and confirm the email notification arrives and that Door Open/Closed events appear in the KISI event log.

**This is an untested approach**. We have not implemented it for any Club to date, so the setup will be exploratory and may require trial and error. The sensor functions only within the KISI app; there is no integration between the sensor and the App.&#x20;

**Note:** On Autonomous installs, the maglock often ships with a sensor already built in. Check the existing hardware with the installer before purchasing a separate sensor.

#### Common Issues

* **No alert fires:** Confirm the sensor is wired to the controller's input and that the incident rule's threshold and notification email are set correctly.
* **Sensor not detected:** Have the installer verify the wiring and the door's open/closed state in the KISI event log.
