# Promo Codes

### Overview

Promo Codes give every Club a flexible way to discount Reservations, Events, and Ball Machine charges, drive first-time visits, and run partner promotions. Each Club can configure Promo Codes differently depending on the use case.

The Promo Code page is visible in the Dashboard with the <i class="fa-tag">:tag:</i> tag icon.

### Anatomy of a Promo Code

Once on the Promo Code page of the Dashboard, click on the blue Create Promo Code button at the top of the page.

Each setting below can be toggled or adjusted when creating or editing a Promo Code.

**PROMO CODE DETAILS**

* **Code:** this is the name of the Promo Code; searchable later in the Promo Code page, within the Purchase page, and within the Purchase page export, Settlements
* **Description**: For internal use only, not visible to Customers
* **Areas**: For which venues or locations the Promo Code can apply
* **Value:** Expressed as either a percentage discount or a fixed-amount discount
  * Fixed-amount Promo Code can only be redeemed once. If a code is worth $50 and the Customer signs up for a $45 Event, the remaining $5 is forfeited
* **Applicable to**: Reservations, Open Play, Tournaments, Leagues, Kids Class, Adults Class, another Custom Event type, or Ball Machine
  * **Ball Machine** applies the discount to the Ball Machine charge on a Reservation (after any Membership Ball Machine discount). It never discounts a human Coach's fee
  * The Ball Machine option is labeled with the Club's own term for Ball Machines if one is configured in the Club settings
  * A Promo Code applicable **only** to Ball Machine is rejected on bookings without a Ball Machine
  * A fixed-amount Promo Code applicable to both Reservations and Ball Machine discounts the court charge first; any remaining value then discounts the Ball Machine charge

**PROMO CODE SETTINGS**

* **Limit the number of redemptions:** Limit applies across all Customers, not per Customer, entered as a value
* **Allow multiple uses:** A customer may redeem the Promo Code more than once
  * If toggled ON, the "First game only" toggle cannot be turned ON
* **First game only:** The Promo Code will only be valid for the first booking of each type selected (Reservation, Open Play, Clinic, etc.); useful for incentivizing new Customers to try the Club
* **Add start date**: Promo Code will be valid if the Reservation booking or Event signup is after 12am on this date
  * If March 1st is selected, the Promo Code will be valid starting on March 1st
* **Add end date**: Promo Code will be valid if the reservation is before 12am on this date
  * If April 1st is selected, the last day the Promo Code will be valid is March 31st
* **Add specific days**: Promo Code will be valid if the Reservation or Event is on one of these days; referring to the days of the week (Sunday through Saturday) and each day needs to be checked off to apply
* **Restrict to Domain:** Promo Code will be valid if the reservation is made by a user with an domain.com email address; type in all relevant domain addresses (google.com, related.com, podplay.app, etc.)
* **Restrict to Users**: Promo Code will be valid if the reservation is made by someone in this list; add Customers with a Manual Search or Bulk Upload
  * Note: once a Promo Code is created with a fixed list of Customers (for example, John, Jill, and Jackie), the list cannot be edited later to add more Customers (such as Jasper, Jerico, and Joseph); a new Promo Code must be created

#### How to Create a Promo Code

1. Navigate to the Promo Codes page in the left side panel.
2. Click the blue "Create Promo Code" button in the top-right corner.
3. Edit the details of the Promo Code.
4. Click the blue "Create" button at the bottom of the side panel.

### How to Use a Promo Code

If a Customer knowns a Promo Code, they can apply it during the booking flow for a Reservation or during an Event signup.

**For Reservations:**

1. Click on a preferred time to play
2. Click on the `Apply promo code` button
3. Type in the Promo Code
4. Click the `Submit` button
5. Notice if the Promo Code is valid or not
6. Confirm with the `Submit Payment` button at the bottom

**Promo Codes cannot be applied by an invitee on a Reservation**. Customers who are booking a Reservation can apply a Promo Code, and the Promo Code will either:

* Discount the entire court/table rate (Court+), and invites can be sent out after to split that discount rate, or
* Discount the bookers spot rate (Spot+), and invites can be sent out, with the invitee paying for their spot

**For Events:**

1. Click on the preferred Event
2. Review the details of the Event
3. Click the Signup button
4. Click on the `Apply promo code` button
5. Type in the Promo Code
6. Click the `Submit` button
7. Notice if the Promo Code is valid or not
8. Confirm with the `Submit Payment` button at the bottom

### Reviewing a Promo Code Purchase

#### Inside a Reservation or Event

1. Open the Reservation or Event
2. Navigate to the Purchase tab
3. Click on a specific charge to review the details
4. Notice if a Promo Code was applied and discounted the booking or signup

### FAQs

<summary>What happens when you toggle the First Game only setting of a Promo Code?</summary>

If you create a Promo Code and toggle the First Game switch, it means the Customer can use this Promo Code for their first-time booking and not any subsequent booking. Customers who have previously booked a Reservation at the Club cannot use a First Game only Promo Code for Reservations.

<summary>Can I create a Promo Code that can be used only once by each Customer?</summary>

Yes! The toggle for Single Use on the Promo Code settings will allow you to accomplish this with your Customers. As an example, if you create a Promo Code and turn on the Single Use toggle, each Customer can only use that specific Promo Code once. It does not have to be the Customer’s first time at the Club, it just means the Customers will only ever be able to use this Promo Code once, and if the Customer tries to use it again, they will receive an error.

Promo Codes give Club’s the ability to A/B test and experiment with how, when, and what the Customer will use a Promo Code for. The more a Promo Code is used across the Customer base, the more the Club will understand what their Customers are interested in. This leads to the Club understanding what more they could provide to their Customers in order to make their Customers happy, and to generate more revenue.

Promo codes allow a Club to incentivize specific customer behaviors. Giving an incentive to new Customers via a first game only promo code is an example of a Promo Code targeted at a specific audience (new Customers) that encourages a specific behavior (make a booking).

No. Today, a Promo Code cannot be applied to a Membership.

A Promo Code with **Ball Machine** checked under Applicable to discounts the Ball Machine charge on a Reservation. For example, if the Ball Machine costs $50 per hour, a 50% Ball Machine Promo Code brings a one-hour rental to $25 while the court rate stays unchanged.

A few details to know:

* The discount applies after any Membership Ball Machine discount, and tax is calculated on the discounted amount
* A Promo Code that is **only** applicable to Ball Machine cannot be used on a booking without a Ball Machine — the Customer will see an error explaining this
* Promo Codes never discount a human Coach's fee, only Ball Machines
* A fixed-amount code applicable to both Reservations and Ball Machine spends against the court charge first, and any remainder discounts the Ball Machine charge

<summary>Can a Promo Code be applied to a Series?</summary>

**Yes, so BE CAREFUL.**

When a Series is created, the pricing is set for the whole Series. A Promo Code that is applicable to a single League type Event be applied to a League that is a Series. The Promo Code will apply to the whole Series price. This means if your single-day League is $100 and a Series is $350, a 25% Promo Code is a lot more valuable if used on Series.

It's best to create Promo Codes that apply to single-day Event types, like an Open Play.
