### Managing Inventory and Stock

Track inventory levels for your products, receive low stock alerts, and maintain a complete history of stock changes. This feature helps you stay on top of product availability and understand how inventory moves in and out of your facility.

#### Viewing Inventory Levels

When you open the Shop page and view your Offerings, you'll see an **Inventory** column showing the current stock status for each product.

\[SCREENSHOT NEEDED: Offerings table showing the Inventory column with different stock states - In Stock, Low Stock, and Out of Stock]

Stock levels display in three states:

* **In Stock** - Shows the quantity available (e.g., "In Stock (25)")
* **Low Stock** - Appears in orange when stock reaches your alert threshold, with a warning icon
* **Out of Stock** - Appears in red when no inventory remains

#### Adjusting Stock Levels

To add or remove stock for a product:

* Open the **Shop** page from the main menu
* Click on a product offering to open its details drawer
* Expand the **Stock Management** section
* Click the edit button next to the current stock number

\[SCREENSHOT NEEDED: Stock Management section in the product offering drawer showing the stock value with edit button]

In the stock adjustment modal:

* Select **Add** or **Remove** from the dropdown
* Enter the quantity to adjust
* Provide a reason for the change (required)
* Review the **Current Stock** and **New Stock** preview
* Click the **Add** or **Remove** button to confirm

\[SCREENSHOT NEEDED: Stock adjustment modal showing the Add/Remove dropdown, quantity field, reason field, and current/new stock preview]

The reason you enter will be recorded in the stock history for reference.

#### Setting Low Stock Alerts

Set a threshold to receive visual warnings when stock runs low:

* Open a product offering drawer
* Expand the **Stock Management** section
* Enter a value in the **Low Stock Alert** field

\[SCREENSHOT NEEDED: Low Stock Alert field in the Stock Management section]

When your inventory falls to or below this threshold, the product will display an orange "Low Stock" indicator with a warning icon in the Offerings table.

#### Viewing Stock History

Every stock change is recorded with full details:

* Open a product offering drawer
* Expand the **Stock History** section

\[SCREENSHOT NEEDED: Stock History table showing transaction entries with date, description, quantity, and total columns]

The history table shows:

* **Date** - When the change occurred
* **Description** - The reason for the change and who made it
  * For manual adjustments, shows the staff member's name (clickable to view their profile)
  * For order-related changes, shows "Order" with a link to view the order details
* **Quantity** - The amount added (green, +) or removed (red, -)
* **Total** - The running stock total after the change

**PLEASE NOTE:** Stock is automatically reduced when products are purchased through orders. These changes appear in the Stock History with "Order" as the source.

{% hint style="info" %}

1. Set your Low Stock Alert threshold based on how quickly products sell and your reorder lead time.
2. Always provide clear reasons when adjusting stock manually - this helps with inventory audits.
3. Use the Stock History to investigate discrepancies between physical counts and system records.
4. Click on staff names or order links in the history to get more details about a transaction.
   {% endhint %}

### Edit Items inside the Shop

If there are products inside your Shop you plan to edit, you can:

* Edit individual products
* Perform Bulk Actions on several products

#### Edit Individual Products

To either edit or delete a product from the Shop click the three vertical dots on the right side of a product and select either Edit or Remove.

<figure><img src="/files/VlFcMn4qrxd0f38lPk04" alt=""><figcaption></figcaption></figure>

{% tabs %}
{% tab title="If you select EDIT" %}
**If you select Edit:**

* A side panel will appear and show
  * **SKU** - you don’t need to edit this as it is added in the Product Catalog, not the Shop
  * **UPC (Barcode)** - this can be edited for future scanning of a product
  * **Price** - the price of an individual product can be edited inside a Shop and it will not affect any other Location’s Shop with the same product
  * **Tax Category** - the [Tax Category](/payments/the-shop-page/add-to-shop-from-product-catalog.md#add-and-assign-tax-categories) can be adjusted here
  * **Status** - the options to select from here are Draft, Published, or Archived
    * Published: the product can be added to a shopping cart and Charged to a Customer
    * Draft: the product is not yet available and your Club is planning to sell it soon
    * Archive: the product cannot be added to a shopping cart and is presumed to be no longer in use
  * **Picture** - this is added in the Product Catalog, not the Shop
  * **Description** - this is added in the Product Catalog

<figure><img src="/files/Zzwt2XosTJs4WGAMxeOh" alt=""><figcaption></figcaption></figure>
{% endtab %}

{% tab title="If you select REMOVE" %}
**If you select Remove:**

* A new pop-up window will appear and ask: “Are you sure you want to remove \[product name] from \[Location]’s shop?”
* Click on the red “Remove” button and the product will disappear from the Shop’s view

<figure><img src="/files/JvPlruEchKLl6uNtV7vT" alt=""><figcaption></figcaption></figure>
{% endtab %}
{% endtabs %}

{% hint style="warning" %}
**PLEASE NOTE**: If you remove a product from your Shop, you remove the product from your view in the Shop. This does not delete the product from the Product Catalog. If the product is deleted from the Product Catalog, any data from previous Customer purchases will be deleted, too. Learn more about this in the article [**Delete from Product Catalog**](/payments/the-shop-page/add-to-the-product-catalog.md#deleting-from-product-catalog).
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.podplay.app/payments/the-shop-page/inside-the-shop.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
