# Create & Manage Package Templates

### Overview

Package templates define what passes (benefits) Customers receive with a Membership Package or a Standalone Package, such as reservation credits, event sign-up allowances, or guest passes.

You can build Package Templates here, then link them to Memberships in Membership page. This page is also where you review which Memberships use each template and open tools to update or regrant packages when your Club’s benefits change. Use this area when you need to set up a new benefit bundle, adjust pass counts or types, or understand how templates connect to Memberships before running a bulk grant.

* Sign in to the Dashboard
* Navigate to **Package Templates** in the Dashboard

* Review the table of templates: **Name**, **Items** (pass summary), **Duration Days**, memberships in use, and **Created Date**
* If your club uses standalone packages, you will also see a **Standalone** tab where standalone package templates are listed separately

### Create a Package Template

* Click `+ Membership Package` near the top right of the page
* Under **Details**, enter **Display Name** and **Display Name Plural**

* Review **Expires in (days)** — 32 days is the default for Membership Packages to cover any months with 31 days in the month
  * If the days are changed to 31 days or less, Members will have days when they don't have a package at all

* Click `+ Pass` to add a Pass to the Package
* For each pass, choose the pass type (for example **Reservation Pass**, **Play Pass**, or **Guest Pass**), quantities, and any limits your club uses in the pass editor
* Use the drag handle on the left of a row to reorder passes if display order matters

**Virtual credits** and **Replay credits** rows are available on **Standalone** package templates only, not on membership package templates. To include wallet value in a membership benefit, use a Standalone package template instead—see [Standalone Packages](/play-passes/play-pass-overview/standalone-packages.md).

* Click **Continue** to add the Passes to the Package
* Click **Create** to save

**After saving**, connect this template to the right Membership in Membership page if it should apply to subscribers (the template appears under Memberships that use it once connected).

#### Add Reservation (Resv) Passes to the Package

If you choose to add Resv Passes to a Package, these passes can be used to zero-out the cost of private Reservation.

* Choose Reservation Pass
* Set the **Duration**
* Select the **Booking Hours** — you can pick from Peak, Reduced, and Off-peak
  * This is a hierarchy where selecting Peak will apply to all options; choosing Reduced will apply to Reduced and Off-peak; choosing Off-peak will only apply to Off-peak
* Select where the Passes can be used with **Locations**
* Add and **Experience** if your Club has multiple booking Experiences
* Notice the **Display Name** is typed in for you — the language selected is the easiest for Customers to understand; you can edit this if preferred

#### Add Play Passes to the Package

If you choose to add Play Passes to a Package, these passes can be used to zero-out the cost of an Event sign-up.

* Choose Play Pass
* Select the **Event Types(s)** — you can pick from the same style drop-down selector when creating programming
  * Play Passes can be applied to multiple Event types
* Add any **Event Tags** — you can add a Tag if the desired output is that a Customer can only use this Play Pass for an Event that also has the selected Tag
  * If a Tag is added and an Event does not have the selected Tag, the Play Pass will not work
* Select where the Passes can be used with **Locations**
* Add an **Experience** — only if your Club has multiple booking Experiences
* Notice the **Display Name** is typed in for you — the language selected is the easiest for Customers to understand; you can edit this if preferred
  * The name will change based on the Event type selected; if multiple Event types are selected, the name changes to "Event Guest Pass"

#### Add Guest Passes to the Package

If you choose to add Guest Passes to a Package, these passes can be used by a Customer to invite a Guest to an Event for free or allow for a Reservation invitee to join for free.

* Choose Guest Pass
* Select the **Event Types(s)** — you can pick from the same style drop-down selector when creating programming
  * Guest Passes can be applied to multiple Event types
* Add any **Event Tags** — you can add a Tag if the desired output is that a Customer can only use this Guest Pass for an Event that also has the selected Tag
  * If a Tag is added and an Event does not have the selected Tag, the Guest Pass will not work
* Choose a **Duration** — only applicable if the Guest Pass is to be used for Reservations
* Select where the Passes can be used with **Locations**
* Add an **Experience** — only if your Club has multiple booking Experiences
* Notice the **Display Name** is typed in for you — the language selected is the easiest for Customers to understand; you can edit this if preferred
  * The name will change based on the Event type selected; if multiple Event types are selected, the name changes to "Event Guest Pass"

#### Add Multiple Passes to the Package

Once the preferred Passes are created, clicking on the blue `Continue` button will add that Pass(es) to the Package. Different types of Passes can be added to a single Package.

#### Save

* For a new template, click **Create**
* For an existing template, click **Update**

If the template is also linked to memberships, an **Update** can still open **Confirm Package Updates** for subscribers. See [Choose How Package Template Updates Apply to Memberships](#choose-how-to-update-membership-package).

### Set Reservation Pass Duration

**This is setting is used for padel courts, where the normal duration of play is 90 minutes, not other sports.**

When you create or edit a **Reservation Pass** or **Guest Pass** in a Package Template, you can choose how much Reservation time one pass covers. By default, one pass covers **1 hour** of court or spot time. You can increase that duration in **30-minute** steps (for example, 1.5 hours or 2 hours).

Use this when a Membership perk should cover longer private Reservations without requiring the Customer to use multiple Passes for a single booking.

#### Configure duration in a Package Template

* Navigate to **Company Settings** → **Package Templates**
* Open an existing Template or create a new one
* Add or edit a Pass and choose **Reservation Pass** or **Guest Pass**
* In the Pass constraints section, open **Duration**
* Select how long one pass should cover (minimum **1 hour**)
* Review the **Display Name** if you rely on auto-generated names (for example, **2 Hour Resv Pass**)
* Save the Template

The maximum duration available in the dropdown follows your club's **Max Hours per Reservation** setting when configured. If that limit is not set, durations up to **4 hours** are available.

#### How duration affects Customers

* A **1-hour** pass covers two 30-minute Reservation slots (the default behavior)
* A **1.5-hour** pass covers three 30-minute slots with **one** pass
* A **2-hour** pass covers four 30-minute slots with **one** pass

If a Reservation is longer than one Pass covers, additional Passes are used automatically until the booking is fully covered or the Customer runs out of Passes.

#### Reservation Pass vs. Guest Pass

* **Reservation Pass**: Covers the Member's court or spot when they book a private Reservation
* **Guest Pass**: When configured for private Reservation or Coaching Lesson on spot-based billing, duration works the same way for the Guest's spot

Event **Play Passes** and event **Guest Passes** are not affected by this setting. They still cover one event signup per pass.

#### Important notes

* Changing duration on a Template does **not** update Passes already granted to existing Members. Only new grants use the updated duration.
* The pass **Display Name** is what Customers see in the app. Update it if you want the card to reflect the new duration (for example, **1.5 Hour Resv Pass** instead of **Hour Resv Pass**).
* Daily Reservation Pass limits (when configured) count **passes redeemed**, not hours. A single 2-hour Pass counts as one Pass toward the daily limit.

### Edit existing Package Template

* On **Package Templates**, click the template **Name** (link) to open **Manage Package Template**
* Change **Details** or **Passes** as needed
* Click **Update**

If the template is already linked to one or more Memberships, saving an **Update** may open **Confirm Package Updates** so you can choose when Customers get the revised package. See the next section **Choose How to Update the Package**.

If there are no changes since you opened the drawer, you will see a message that there is nothing new to save.

#### Regrant and activity on a template

* **Regrant this package** (under **Passes** when available) runs the bulk grant flow for saved templates. You must save any edits first. For step-by-step instructions, see [Grant a Package Template to Membership Subscribers](broken://pages/c5D5qP9hNfGn4OyT4t7x).
* Scroll to **Activity Log** at the bottom of the template drawer to see a read-only history of changes for that template

### Choose How to Update the Package

Use this workflow when you update a Package template that is already connected to Memberships.

After you click **Update** because you have updated a Package connected to a Membership, your Package is saved right away, and the system then asks how you want those changes to apply to current membership subscribers.

In the **Confirm Package Updates** modal, choose one option:

1. **Update package upon next renewal date (regular renewal date)**\
   Customers keep their current package until their next grant date.

2. **Update the package for everyone as of today (all passes are reset)**\
   Customers receive the new package immediately, and current packages are replaced.

* Click **Acknowledge** to apply the option you selected.

If you need to grant the package to only certain memberships, click **Update grant for specific memberships only** and complete the grant modal.

#### What each option does

* **Next renewal date**
  * Current Packages continue to work until each Customer's Next Grant Date
  * No immediate Package reset happens
* **As of today (all passes are reset)**
  * Eligible Customers receive the updated Package immediately
  * Any current Package is expired and replaced by the new Package

### Archive a Template

Archiving is a reversible way to retire a Template without permanently deleting it. An archived Template cannot be granted to Membership subscribers or to Customers as a Standalone, and it is hidden from the Packages page and all pickers.

* Open **Manage Package Template** for the template you want to archive
* Click the **⋯** (actions) button in the drawer footer, then select **Archive**

If **Archive** is greyed out, the Template is still linked to at least one membership — unlink it from all Memberships first, then try again.

To restore an archived Template, open it from the **Package Templates** board (enable **Show archived** in Filters first), then open the **⋯** menu and click **Unarchive**.

### Show archived Templates

Archived Package Templates are hidden from the list by default.

* On **Package Templates**, expand **Filters**
* Toggle **Show archived** on — archived Package Templates appear in the list with an **Archived** tag

### Delete a Template

* Open **Manage Package Template** for the Template you want to remove
* Click the **⋯** (actions) button in the drawer footer, select **Delete**, and confirm

If **Delete** is greyed out, the Template is still linked to at least one Membership — remove or change the Membership’s package template setting first, then try again.

### Tips

* Keep **Display Name** wording consistent with what Customers see in emails and the app where Package names appear.
* Before large changes to passes, confirm which Memberships use the Template in the **Memberships** column on the main table.
* After updating a Template tied to active Members, use the confirmation modal options or a targeted regrant so you know exactly when new benefits apply.
